[{"fields": {"is_featured": false, "dir_size": 16556, "igdata": "outlook- the basics contacts calendar email set-up the outlook shortcut bar- this is the outlook icon the start menu can be used to access outlook- it is typically at the top as a default email tool click on the program to start it. upon first startup you may be prompted to move through different screens automatically. (usually to set up your email account(s)- feel free to skip this step until later. outlook today offers you a glimpse of your schedule activities for the day, as well as a peek at your email accounts and tasks. the calandar tool can be found quickly here also. as can the contact tab the task tab as well as the notes tab. click on view to change and customize anything you see on your outlook desktop. may i suggest the folder view? the folder list view gives you a familar looking windows exploerer-type layout to all of your outlook functions. it may come collapsed in outlook today, by using the plus and minus signs (+-) you can expand and contract folders. expanded view the notes section will synchronize with most pda's (blackberry included) under contacts, you can add differing folders. just right click with your mouse, and select new folder. click it name your folder and hit okay. you can now view your new contact folder. by double-clicking the open field you can add contacts. add the information you want to keep handy (understand these are typically consistent with the fields you use on your pda) email can be interesting and frustrating if you don't pay attention to the details. click save and close and the name is added in the field. by right-clicking with your mouse, you can choose what action to perform concerning that one client. you can also select a number of clients and choose similar actions. a follow-up flag will give you a pop-up reminder when you determine, about whomever, concerning whatever. whether a phone call, email, or general reminer, this is a simple way of keeping in touch with a database. click on what type of follow up when to follow up what time to follow up and hit okay. by double-clicking on an existing client, you can check on any up coming follow up (it also shows just below their name in the contact folder). by clicking the follow up tab on the top, you can edit the details of when and how you should follow up. you can mark a follow-up task complete here as well. save and close, and the adjustments have been made. in your contact box, right click and select sort you can choose any number of ways to sort the clients you have- priority of need, company working for, first name, last name- almost any way you can think of. a distribution list is a list of contacts to be included in an email: eg. 5 new buyers, looking for the same or similar price range; when there are multiple email addresses (multiple clients, same deal). click on the arrow beside new, then distribution list. (you can also select actions when in your contact desktop). give it a name... and select members to proceed in the top right, all of your folders will be available, click on the appropriate folder select the members hit members to add them... then okay. save and close right-click to change options, double click to re-open. tip: sometimes its best to leave a space or a dash at the beginning of the distribution list name. it will sort it first, but only if using alphabetical sorting. then, save and close. click on your calendar in your folder list double-click any space to set a new appointment enter the subject and location of the meeting hit save and close by hovering over the appointment you can see the details by clicking once, you can rename the subject of the meeting by clicking and holding the side bounding box (usually blue), you can drag and drop the appointment anywhere in your schedule. click on your client list in your folder list under your hot leads folder, you can set appointments with clients directly right-click the client and select new appointment it will open the same screen as was opened in the calendar screen. enter the appropriate date... and time... click save and close and check your calendar. it will be there! to setup your email, click on the tools tab click email accounts either add or change the profile which already exists. click on change if you have a non-functioning setup. enter your name (for screen purposes) email address (duh!), your username (usually whats infront of the @ sign) and password. your incoming and outgoing mail servers are tricky- consult your it guy or home internet service provider; or josh. you can test your settings. and hit send and receive if you ever want to check an operational account.
